Viewing Service Due for Vehicles

EZ Maintenance CMMS also lets you easily view what vehicle preventive maintenance events are upcoming and what they're due dates are. There are three ways you can view what maintenance is becoming due in EZ Maintenance: you can view maintenance due by vehicle, by due date, or by the usage at which the maintenance is due. To view maintenance due, just click on the Service Due button on the EZ Maintenance main menu:



After clicking on the Service Due button, a small window will pop up which gives you the option of viewing maintenance due by vehicle, by date, or by usage:



Service Due by Vehicles

Clicking on the By Vehicle button shows you maintenance due by vehicle. This is the window at which you view maintenance due by vehicle:



At this window, all of the vehicles you've entered into EZ Maintenance are listed in the middle of the screen:



If you select a vehicle by clicking on it, then the list of all the upcoming and overdue maintenance events for that vehicle is displayed in the list below the list of vehicles:



For each maintenance event, the due date is shown (Next Due) as well as what kind of maintenance it is (e.g. "Routine Maintenance", "Transmission Maintenance", etc.). If a work order has already been created for the maintenance, then the work order number for the work order is shown under the Work Order No. column. If it has been assigned to somebody, that person's name is under the Assigned To column. Also, the number miles until the next service is due is shown under the Miles Till Next Service column.

If you want to search for a particular vehicle or a work order, if you know the work order number, there is a search feature at this window that enables you to do this:



Here you select whether you are searching for a vehicle or for a work order by selecting either Vehicle No. or Work Order No. Then, depending on what you selected, type in the vehicle number of the vehicle you are searching for or the number of the work order you are searching for, and then click on the Locate button to perform your search.

In addition, you can print work orders from this window as well. To do this, find the To Print column in the list of maintenance events and check each box under that column corresponding with each work order you want to print:



Then, at the Reports box at the upper right part of the window, select whether you want to print a full work order (Full Report) or a custom work order (Custom Report). The custom work order lets you choose what items you want to have on the work order and which ones you want to leave out: the list of services, parts to service, materials, and operations:



Once you have selected all of the work orders you want to print and whether you want to print the standard full work order or a custom work order, then click on the Print Selected button to print all of the work orders you selected. You can also use the Select All button to select all of the work orders for the vehicle you currently have selected; the Unselect All button deselects all work orders.

Creating a Work Order: To create a work order for a scheduled maintenance event at the window where you view maintenance due by vehicle, just select one of the maintenance events by clicking on it and click on the Create/Edit Work Order button.

Service Due by Date

If you choose to view maintenance due by date, you will be taken to the following window which lists all of the maintenance events for all vehicles sorted by their due dates:



The list of maintenance events shows the date on which each one is due in the Next Due column. If a work order has been created for a maintenance event, the work order number is shown in the Work Order No. column and the person whom it is assigned to (if any) is shown in the Assigned To column. Also, the vehicle that the maintenance event is for is shown (Vehicle Number), and the type of maintenance is shown as well under the Type column:



There is also a search feature on this window that lets you locate maintenance events by vehicle, or you can search for a particular work order if you know its work order number:



If you select Vehicle No., then type in the number of the vehicle into the box to the right and click the Locate button. This will locate the first maintenance event in the list for the vehicle that you indicated; you can then click the Locate Next button to find all subsequent maintenance events in the list. If you select Work Order No., then type the number of the work order you're looking for into the box to the right and then click on the Locate button to find that work order.

Like when viewing maintenance due by vehicle, there is also a Reports feature that lets you print all selected work orders.

Creating a Work Order: To create a work order for a scheduled maintenance event at the window where you view maintenance due by date, just select one of the maintenance events by clicking on it and click on the Create/Edit Work Order button.

Service Due by Usage

If you choose to view service due by usage, you will be taken to the following window where you can see all of the maintenance events for all vehicles sorted by the number of miles until each maintenance event is due:



Basically speaking, viewing vehicle maintenance due by usage is similar to viewing service due by date. However, the maintenance events here are sorted by the amount of mileage until they are due instead of by their due date.

Maintenance Due Calendar

EZ Maintenance also include a Vehicle Maintenance calendar which allows you to view all of the maintenance that is due on a given day:



To use this feature, you just click on a day on the calendar in the upper right, and all of the vehicle maintenance that is due on the day you selected displays in the list to the left.

1. How do we schedule maintenance and service? Do we have to type in each service date?
  No. You simply enter the preventive maintenance or service to be performed, and then enter the cycle; i.e. every day, every week, every month, etc. EZ Maintenance fleet maintenance software will automatically schedule the preventive maintenance or service on an on going basis from the day you schedule the first maintenance on the cycle you have selected. In other word, if you, for example, have a preventive maintenance or service you want to have take place once each week, when you enter the work you want done weekly, EZ Maintenance fleet maintenance software will automatically schedule that preventive maintenance to take place weekly thereafter.
2. What happens if we miss a scheduled maintenance or service?
  EZ Maintenance fleet maintenance software allows a supervisor to note the reason, and to reschedule the work (this must be done by a supervisor so work cannot be missed or rescheduled without management control). When the work is rescheduled and completed, EZ Maintenance fleet maintenance software automatically adjusts the calendar by rescheduling the balance of the maintenance . In other words, if a weekly preventive maintenance day is missed by four days, and the work is then done, EZ Maintenance fleet maintenance software reschedules the rest of the maintenance weekly from the day the work was actually done.
3. How am I supposed to know which vehicles need maintenance?
  EZ Maintenance fleet maintenance software allows an operator to track a vehicle by an assigned company identification number, or by its license plate. When it is time for preventive maintenance, the operator will be able to check a report to see that the specific vehicle needs a certain service.
